Job Description

The Support Services Manager oversees all activities related to support services in the Foundation, including facility management, safety and security, canteen services, administrative support, and other related services. The role involves efficiently and effectively managing and implementing these services to support the Foundation's operations.

Responsibilities:

Shared Services Planning:

  • Assist in developing and maintaining support services policies and procedures aligned with the Foundation's vision and strategy.

  • Prepare the annual budget for the Support Services Department and monitor administration expenditure.

  • Review all service providers for compliance with government rules and regulations.

Facility Management:

  • Manage building maintenance and coordinate with service providers.

  • Ensure availability of office equipment and supplies.

  • Regularly check stock of stationery and office supplies.

  • Review space allocation and office occupancy.

  • Manage maintenance and cleanliness of office facilities and coordinate with service providers.

  • Support arrangement for activities and events within the Foundation.

  • Search for property insurance providers, prepare related RFPs, review proposals, and evaluate bidders.

Safety & Security:

  • Manage security service provided to premises and coordinate with service provider.

  • Regularly review security service policies and procedures.

  • Review premises security and fire prevention equipment, coordinate regular checks and maintenance.

Catering:

  • Manage canteen and catering services and coordinate with service providers.

  • Regularly review food and beverages quality and employee satisfaction, make necessary changes.

  • Manage teaboys, their housing, and transportation.

  • Regularly check stock of water and beverage material supply.

Administrative Support:

  • Review incoming and outgoing mail handling and delivery policies.

  • Coordinate with drivers for various tasks and deliveries.

Policies, Processes & Procedures:

  • Follow relevant departmental policies, processes, standard operating procedures, and instructions.

Continuous Improvement:

  • Contribute to identifying opportunities for continuous improvement of processes and practices, considering international best practices, business process improvement, cost reduction, and productivity improvement.

Reporting:

  • Assist in the preparation of timely and accurate reports to meet the Foundation and department requirements, policies, and standards.

Qualifications:

Education and Experience:

  • Bachelor's degree in Engineering, Business Administration, or a related field.

  • Professional certificates in related topics are a plus.

  • Fluency in English and Arabic is required.

  • 4 to 6 years of experience is required.
