Job Description

This role provides comprehensive administrative and secretarial support to a designated supervisor. You will manage the supervisor's schedule, ensure smooth office operations, and handle a variety of communication and administrative tasks.

Responsibilities:

  • Manage the supervisor's calendar, schedule appointments, and minimize disruptions.

  • Screen incoming mail and phone calls, directing inquiries appropriately.

  • Draft correspondence for the supervisor's signature.

  • Maintain confidentiality of sensitive information.

  • Take dictation, transcribe correspondence, and prepare reports as instructed.

  • Take minutes during meetings as needed.

  • Utilize computer software for various office functions.

  • Provide routine information to other hospital departments upon request.

  • Handle minor administrative tasks, applying knowledge of hospital policies and procedures.

  • Complete project assignments as directed by the supervisor.

  • Maintain a reference system for current hospital policies and procedures.

  • Organize and maintain various filing systems to ensure efficient workflow.

  • Prepare monthly reports, including payroll timesheets and supply requisitions.

Qualifications:

  • Bachelor's degree or Associate's degree/diploma in Business Administration, English Language, Secretarial field, or a related discipline (required).

  • Minimum two years of secretarial experience with a Bachelor's degree (preferred).

  • Minimum four years of secretarial experience with a diploma (acceptable).
