OT Coordinator / Medical Transcriptionist

The Operation Theatre Booking Coordinator is In-charge of managing and scheduling the use of the theatre in conjunction to allocation to surgeons as per procedure.

Responsibilities:

• Responsible for the allocation of ad hoc theatre time to surgeons as requested

• Responsible for ensuring that reserved theatre time for surgeons are maintained and adhered to

• Responsible for ensuring that relevant parties are communicated to/informed of special arrangements for theatre preparation

• Ensures that the theatre list is maintained and electronically distributed according to schedule

• Responsible for answering calls to theatre while ensuring good customer service is maintained, calls are prioritized and attended to promptly, messages are taken comprehensively and delivered. This includes calls being screened, complaints and queries directed to appropriate persons as per guidelines and escalation protocols are followed.

• Ensures that telephone database is kept updated and addresses maintained.

• Manages required follow ups if documentation is not received by the set deadlines.

• Ensures that the principles of prioritizing, organizing and planning are adhered to.

• Manages the filing system in OT and ensures that electronic and manual files are maintained according to Med clinic standards.

• Ensures that theatre reports are accurate and prepared in a timely manner.

• Client expectations are met, and quality client service principles are maintained.

• Participation in Quality Improvement Projects is demonstrated.

• Competence is demonstrated in all performance output areas.

Qualifications:

Minimum 2 years of experience in OT Department
