Position/Employment Type: Bid Manager, Commercial Services Team (CST) / Permanent Full-time Employee

Organization/Reporting Line:

  • Reports to: Senior Manager, CST

Place of Work/Travel:

  • Dubai, UAE, with very occasional global travel to Management Offices and other company operations or client locations (CST specific)

Contact and Cooperation:

  • Internally: Senior Manager, CST, Regional Directors, Country Managers

  • Externally: Suppliers, prospective clients, government agencies

Job Outline:

Overview: The Bid Manager will support the Senior Manager, CST in producing bids and maintaining the bid management process to meet and exceed client requirements. This role will manage complex client bid responses, work closely with relevant country and/or regional leadership teams, and assist in preparing other compliant technical responses.

Key Responsibilities:

  • Administer and manage bids, ensuring all client RFP requirements are addressed.

  • Initiate bid kick-off meetings, determine scope, and timeline of new bids.

  • Review client documentation, distribute to stakeholders, and produce compliance matrices.

  • Lead and coordinate bid preparation, ensuring timely and accurate responses.

  • Provide thought leadership to influence bid strategy and approach.

  • Coordinate graphics, flow charts, and other visuals for bids.

  • Review and revise bid documents prepared by others.

  • Produce tendering plans in liaison with core tendering team.

  • Ensure timely submission of completed bids within budget.

  • Participate in other sales and marketing functions as required.

  • Continuously improve quality and success of bids.

  • Develop and maintain bid material library and management system.

  • Attend pre-bid and tender openings.

  • Supervise submission of RFIs, PQQs, and related administration.

  • Input into post-win activities such as contract review and operations handover.

  • Prepare PowerPoint presentations as required.

  • Attend post-bid presentations as directed.

Accountability: The Bid Manager is accountable to the Senior Manager, CST. Responsibilities will be monitored and managed through performance reviews and supported by KPI monitoring.

Qualifications & Experience:

  • Bachelor's Degree in Business Administration/Sales and Marketing or equivalent.

  • Minimum three years of bid management experience.

  • Proficiency in Microsoft Word, Excel, and PowerPoint.

  • Good industry-specific knowledge.

  • Knowledge of document management methods.
