Job Description
This position requires a detail-oriented individual who can effectively manage and control all documents within our organization. The Document Controller will be responsible for organizing, storing, and maintaining company documents, ensuring accuracy, confidentiality, and compliance with relevant regulations. This role requires excellent organizational and communication skills to effectively collaborate with various departments and ensure smooth document flow throughout the company.
Responsibilities:
Create and maintain an efficient document control system, including document numbering, filing, sorting, and archiving.
Review all incoming documents for completeness, accuracy, and compliance with established procedures.
Ensure all documents are properly classified and filed in the appropriate electronic or physical location.
Coordinate with internal stakeholders to collect and distribute documents as required.
Track and monitor the status of documents, including revisions, approvals, and signatures.
Prepare, distribute, and maintain document control reports and logs.
Train employees on document control procedures and provide ongoing support and guidance.
Implement and enforce document control policies and procedures to ensure compliance with regulatory requirements.
Perform regular audits to ensure document integrity, accuracy, and compliance.
Collaborate with cross-functional teams to improve document control processes and systems.
Proven experience in creating and delivering impactful presentations.
Preferred Candidate:
Proven work experience as a Document Controller or similar role.
Strong knowledge of document control principles, practices, and procedures.
Proficient in using document control software and electronic document management systems.
Excellent attention to detail and organizational skills.
Strong communication and interpersonal skills.
Ability to prioritize tasks and meet deadlines.
Knowledge of relevant regulatory requirements and industry standards.
Ability to work well independently as well as in a team.
Ability to handle confidential information with discretion.
