Job Description

Key responsibilities:

  • Support bid process with material pricing and final negotiations based on market prices.

  • Prepare invitation-of-bid forms and distribute to supplier firms or post publicly.

  • Establish global sourcing initiatives and cultivate relationships with local and international vendors.

  • Search for and develop relationships with new national and international external providers.

  • Maintain an approved vendor list and conduct periodic evaluations and updates.

  • Foster good business relations with external provider representatives and key persons.

  • Review and process purchase requisitions according to procurement checklist.

  • Prepare RFQs, including terms and conditions, and distribute to selected external providers.

  • Solicit, receive, and analyze proposals/quotes, making recommendations for management approvals.

  • Obtain internal technical approval on proposals to comply with RFQ requirements.

  • Evaluate external providers to secure optimal deals on necessary goods.

  • Conduct commercial negotiations, aligning terms and conditions with project timelines.

  • Prepare purchase orders/contracts and distribute to selected external providers and concerned departments.

  • Obtain formal acknowledgment of POs/contracts from external providers.

  • Prepare payment and LC requests, following up with finance for clearance.

  • Coordinate with logistics and suppliers for timely delivery and ensure materials' receipt in good condition.

  • Follow up with warehouse for GRN and IPR creation.

  • Submit original invoices to the accounting department.

  • Monitor purchase orders and communicate with external providers.

  • Collaborate with engineering and project managers on procurement-related matters.

  • Maintain physical and computerized files for the department.

  • Foster positive internal relations with all staff.

  • Stay updated on organizational and governmental procurement regulations and share new rules with internal and external stakeholders.

ISO Requirement Fulfillment:

  • Review purchase requisitions for completeness and compliance with specifications.

  • Release normal POs within 15 days from purchase requisition dates.

  • Support expediting and ensure timely material deliveries if required.

  • Achieve savings on budgets.

  • Conduct vendor assessment and maintain records.

  • Demonstrate excellent oral and written communication skills.

Skills

  • Bachelor's degree in Electrical Engineering, Mechanical Engineering, or related field, preferably with an additional degree in Supply Chain Management.

  • Proven working experience as a procurement specialist in the same field in Saudi Arabia's factories or industrial sector.

  • Knowledge of sourcing and procurement techniques with market awareness.

  • Strong negotiation and networking skills.

  • Aptitude in decision-making and working with numerical data.

  • Experience in collecting and analyzing data.

  • Strong leadership capabilities.
