Job Description

1. LMS Administration and Maintenance:
o Oversee the daily operations of the LMS to ensure it is accessible and functional for all users.
o Monitor and enhance system performance and user experience.
2. Technical Support and User Assistance:
o Provide first-line support to teachers, students, and staff for LMS-related queries and technical issues.
o Resolve technical problems promptly and efficiently.
o Develop and distribute user guides, FAQs, and other instructional materials.
3. User Training and Development:
o Conduct training sessions for teachers, students, parents and staff on how to effectively use the LMS.
o Create and maintain training documentation and resources.
o Stay updated on new LMS features and best practices and share this knowledge with users.
4. System Customization and Integration:
o Customize the LMS to align with the school's educational goals and branding.
o Integrate the LMS with other school systems
5. Data Management and Reporting:
o Ensure the integrity, security, and privacy of data within the LMS.
o Generate reports on system usage, student performance, and other metrics as required by school administrators.
o Analyze data to identify trends and areas for improvement.
6. Collaboration and Communication:
o Work closely with teachers, IT staff, and school administrators to understand and address their LMS needs.
o Serve as the liaison between the school and LMS vendors or service providers.
o Communicate effectively with all stakeholders to ensure smooth LMS operations.
7. School Management System (SMS)a) Rollover:
 close leavers account
 build the New Year with terms and dates
 move current staff to their groups to next academic year
 move the permission for all the users to next academic year
 block G12 students accounts (Leavers)
 add the closures dates.b) IT-System Application Admin Management:
 managing User Accounts, setup new accounts and apply security protocol to protect user data.
 privileges and permissions for the application.
 troubleshooting technical issues.
 add classes, groups, and subgroups.
 managing and preparing subjects and course.
 distribute students into their subgroups (Primary and Secondary).
 sending school main announcements.
 assignments and Tasks, learning resources , Exams, Quizzes, Forms, Discipline, PIK , Attendance, Messages, Announcements and Registration Modules Administrator.
 the primary contact for all the addition inquiries about Education
c) Supporting Users:
 supporting users such as teachers, students, parents, staff and administrators.
 create and share parents and students accounts.
 follow up with all parents inquiries, accounts issue. Etc. under IT and my email, phone and school visit.
 follow up with all teachers and staff inquiries, issue with daily support, and provide technical assistance.
d) Training:
 training and follow up with all the teachers about Education Features.
 parents training.
 students training form G5 to G12.
 staff and teachers training, in groups and individually (Secretaries, LSD Staff, Coordinators, Nurses. Etc).
 parents' manual about Education features regularly.
 providing one to one support.
 develop the procedure of using Education by sending manuals or guideline announcementse) Enhancement and Improvement:
 user Acceptance testing gathering enhancement and follow up with any update, test it, announce it and train staff on the new feature.
 improving the Forms module, training and support has been given to teachers on a PD day and individually.
 build students trackers gradebooks.
 testing and preparing new features including a discipline and wellbeing module, a doctor app, and a pickup feature.
 unifying and integrating subjects at the elementary school, making it easier for coordinators to search for subject names in the school system for generating reports or any other matters.
 build and use E documents for the admission team, nurses, and librarian staff.
 improve the LSD department by creating their classes and courses individually for each teacher and student, to objective of creating their timetable individually to take the attendance, assignments, communicating with parent. Etc.
 create separate Gradebooks for the LSD students to allow the students who left or join the SEN department to be evaluated on Education with the best way.
 upload all students and staff profile photos.
 centralize Educational Login details on Education for KG-G5 to facilitate the students' access to the online educational platforms.
 work on developing gradebooks for DP and MYP, by showing the total out of 7
 creating Observation, trips, getting to know your child forms.
f) Managing the content:
 give Advisory Permission to teachers individually after building all subgroups and courses.
 give Coordinators and Subject Leaders Permission individually after building all subgroups and courses.
 add the timetable from aSc to Education.
 follow up the procedure for any new students by adding them to their groups and subgroup, sending parents and student's accounts, report card procedures if the students join after publishing any report.
 follow up the procedure for any student who moved from class to another, by moving them to their new subgroups, and report card procedures.
 LSD Students Groups and subgroups, LSD timetable from each teacher individually
 Extended Essay Subgroups, Assigning teachers and students G11 & 12
 create Groups such as ( Basketball team, Quran competition, Football team, Choir, Advance French, Secondary Reading Olympiad, Little Little Muhaddith Competition) by adding students and parents into the group, and assigning the staff with the correct permission so they can communicate with parents from this group only by announcement, messages, forms. Etc.
 centralize Educational Login details on Education for KG-G5 to facilitate the students' access to the online educational platforms.
 move students between subgroup when informed by the teacher or the coordinator.
 add new fields upon request or when needed into the users profiles, while giving appropriate authority to the concerned persons.
 make the content visible and accessible to the appropriate users.
 upload all staff and students' photos into their profile.
 add school news such as School Policies.
 meet and work with the coordinators to discuss and to make the change on the system according to their requirements') Generating repots for Data Analysis:
 Generating reports and sending them to staff according to their needs including attendance and absence, submitted assignments, family follow-up, grades, list of siblings, grades, ..etc which help to discover what works well and what can be improved.
h) Reporting:
 manage and maintain report templates.
 add new boundaries and weighting for DP and link each to the correct course (HL, SL).
 add new skills, descriptors or made changes according to the coordinators.
 build the Unit of Inquiry for each class in (KG and Elementary).
 add the Internal Subject for the courses (Elementary).
 open and test the gradebooks.
 building the report templates for all the levels.
 build and generate the Predicted Grades report.
 reflect the grade into the report templates.
 teachers training on reporting.
 keep following up, fixing issues, regenerating reports until publishing them.
 create separate Gradebooks for the LSD students to allow the students who left or join the SEN department to be evaluated on Education with the best way.
 transfer G11 students according to the DP coordinators and move their grades according to the agreement.
 move UOI grades for students who change their class (PYP).
 add the total attendance days into the report card.
 allow teachers to edit grades in the gradebook after publishing the report, if a coordinator requests a grade change, teachers can make the necessary adjustments, and then regenerate the report.
External Assessments
Prepares the class roster and shares it with the subject coordinators and teachers to confirm the students list to be tested.
Share/upload the class rosters with the technical team to prepare the log ins for the students.
Check on who completed the test on a timely basis and follow up with the concerned faculty.
Communicate with the technical team of the platform as needed for issues or correction needed.
Download all students' reports (Grade and Class Reports) and share them with the concerned faculty and staff for data analysis.
Complete students' marks/reports extraction to the excel file and share it with the Quality Assurance Lead.
Download the Family report and send it to secretaries for renaming.
Upload the family report on the academy's management system.
Scheduling
Create the schedules for the whole academy from Pre-K till Grade 12.
Amend the schedules as needed (Ramadan timing, visits…etc)
