Job Description

Key Responsibilities include but are not limited to:

  • Responsible for managing the activities of the CEO’s Office and overseeing the provision of administrative support to include handling information of a highly important and confidential nature.

  • Oversee and coordinate specific projects or initiatives assigned, ensuring they are executed successfully.

  • Act as Communication Liaison between the CEO and all Company branch offices, ensuring clear and effective communication.

  • Contribute to the development and implementation of regional strategies in alignment with the CEO's vision and organizational goals.

  • Attend meetings with CEO, events, or interactions, Prepare and manage the issuance of various documents (letters, memos, correspondences, agendas, notes, and minutes of meetings).

  • Address issues and challenges and collaborate with the CEO in finding effective solutions.

  • Oversee office interactions, responding to requests and questions.

  • Create presentations and other management-level reports.

  • Proactively manage appointment scheduling, coordinate meetings and manage calendars and schedules, including Board of Directors meetings, record and distribute minutes of meetings.

  • Oversee and maintain office equipment for uninterrupted function, identify and fulfill office supply needs, maintain, and manage vendors, and other administrative office duties.

  • Provide direct administrative support, including scheduling appointments, arranging meetings, and events, booking travel, mailing, and shipping packages.

  • Arrange programs, events, or conferences by booking facilities, issuing information or invitations, coordinating speakers, and controlling event budget.

  • Manage the maintenance and creation of an effective filing system.

  • Arrange complex and detailed travel plans and itineraries; compile documents for travel-related meetings.

  • Assemble and analyze information, prepare reports, and agendas.

  • Implement established policies and procedures, develop administrative procedures and offer suggestions for process improvements.

  • Exhibit behavior consistent with company code of conduct.

  • Ensure implementation of office policies and procedures and adhere to relevant regulations and QHSE Management System in line with ISO standards.

  • Perform other duties related to the job as assigned by the Direct Management.

  • Germany language is Must.
