Job Description
Requirements:
5+ years of secretarial experience with a professional services company (preferably Legal Services).
Familiarity with legal documents and terminologies.
Excellent knowledge of MS Office (Word, PowerPoint, Excel, and Outlook) and accurate typing skills.
Competent in using systems (document management systems (DMS), client relationship management tools (CRM), billing system) as well as good knowledge to read reports from power bi tools.
Superior written and oral communication skills in English and Arabic.
Provide legal support including prepare, proofread, edit and correspondence legal documents.
Ensure timely saving of legal documents in designated filling systems and compile relevant case information.
Outstanding time-management skills and capability to effectively meet and manage the deadlines.
Possess excellent communication, interpersonal and organizational skills.
Good problem-solving and decision-making skills.
Discreet and maintain confidentiality of all legal and client information.
Demonstrate strong work ethic to navigate and fit in fast paced and demanding legal environment.
Duties & Responsibilities:
Produce information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text and data.
Assist associates with processing, amending, proofreading legal documents and in some cases, courtroom procedures.
Participate in the billing process by preparing and sending invoices, reimbursable expenses and tracking client payments and billing queries with finance.
Liaise with clients and internal departments on collection on regular basis.
Maintains lawyer's calendars by planning and scheduling conferences, teleconferences, meetings, and liaise with travel desk team on travel arrangements.
File, organize, scan, copy and fax legal documents promptly.
Screen, direct, and prioritize incoming calls and emails to lawyers.
Adhere to the Firm's policies and procedures.
