Job Description
To greet and meet visitors in a polite and courteous manner as a Transguard representative and as a first point of contact. Responsible for answering phone calls, running errands efficiently, and interacting with customers and clients professionally for better customer satisfaction and enhanced communication skills. To create a warm, inviting environment for clients, customers, and employees.
Key Responsibilities:
Financial:
Respond to inquiries, requests, and complaints without delays and address them professionally.
Work with the admin team in terms of petty cash reimbursement and replenishment, processing them accurately.
Perform administrative support tasks as requested by the Administration Manager or BU Head.
Customer:
Answer incoming calls in a cordial, professional, and timely manner.
Handle multiple phone lines, discerning the caller’s needs and transferring calls to appropriate staff or taking messages as required.
Keep the work area and reception lobby tidy and presentable to visitors.
Inform staff of visitor arrivals, greet them, and log visitor details in the visitor logbook.
Ensure the reception is always manned during lunch and other breaks.
Process:
Arrange the shipment of all outgoing mail.
Arrange necessary gate passes and entry permits, parking permits for visitors.
Raise procurement query forms and purchase requests correctly and efficiently to support operations.
Manage meeting room bookings if required or requested by staff or management.
Innovation:
Handle general administrative duties including photocopying, filing, ordering stationery, dispatching, and accepting mail and courier services for TGHQ.
Skills and Selection Criteria:
Minimum of 1 year of experience as a Receptionist.
High School Qualification.
Excellent written and spoken English.
Competency in Microsoft suites (Word, Excel & Outlook).
