Your Role
We are looking to hire an experienced Receptionist for our growing Dubai office. As the face of the office, you will be the first point of contact for our clients, consultants and colleagues. You will embody the Gensler culture and spirit of welcome, friendship and collaboration.
What You Will Do
Manning a busy reception desk, ensuring that the office is presented in a professional and welcoming manner to all visitors.
Answering incoming calls, both external and internal, and directing client, consultant and colleague queries.
Distributing post, sample deliveries and all general correspondence to the relevant parties.
Coordinating facilities management along with the rest of the regional team, including keeping areas tidy and clean at all times, liaising with suppliers and building maintenance.
Manage bookings for various conference rooms within the office.
Prepare conference rooms for visitors, including any AV requirements and any refreshments.
Monitor and order catering supplies.
Monitor and order stationary supplies.
Arrange any courier requirements, as well as taking receipt of any incoming courier packages.
Assisting with binding, photocopying, packaging of proposals and presentations.
Coordinating with the building management with regard to the health and safety maintenance of the office.
Preparing any letters or other documents, as required by the management of the office.
Provide any further required administrative support to all other areas of the business.
Organize internal/external meetings, Lunch and Learn & set up conference calls
Manage the overall organization, general maintenance and updating of the materials library.
Your Qualifications
Essential
Excellent communication skills in English and, preferably Arabic as well
Personable and presentable
Ability to prioritise effectively and multitask
Excellent time management skills
Capable of working in a fast paced environment
Ability to work as part of a team
Desirable
Experience of working within the architecture sector, or a similar professional services firm.
