Job Description
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to the CEO of our pharmaceutical manufacturing company. The ideal candidate will have a minimum of 2 years of experience in a similar role and possess the ability to handle a wide range of administrative and executive support tasks. This position requires exceptional professionalism, discretion, and attention to detail in a fast-paced and dynamic environment.
ResponsibilitiesManage the CEO's calendar and schedule appointments, meetings, and conferences efficiently.
Coordinate travel arrangements, including flight bookings, hotel reservations, and transportation logistics.
Prepare and edit correspondence, presentations, and reports for both internal and external stakeholders.
Attend meetings, take minutes, and distribute meeting agendas and materials as needed.
Screen and prioritize incoming phone calls, emails, and mail, handling inquiries with professionalism.
Maintain and update the CEO's contacts database, ensuring accuracy and completeness.
Assist in preparing for board meetings and other high-level executive gatherings, coordinating logistics and materials.
Coordinate and manage special projects and events assigned by the CEO, ensuring their successful execution.
Handle confidential and sensitive information with the utmost discretion and confidentiality.
Perform general administrative tasks such as filing, photocopying, and document organization.
Preferred CandidateMinimum of 2 years of experience as an Executive Assistant or similar role, supporting C-level executives.
Bachelor's degree in Business Administration or a related field.
Excellent written and verbal communication skills in English.
Strong organizational and multitasking abilities, with the capacity to prioritize tasks effectively.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and back office software (e.g., ERP).
Detail-oriented with exceptional attention to accuracy and completeness.
