Job Description


  • · Develop, implement, and maintain effective document control procedures and standards.

  • · Create and manage document control systems, utilizing electronic document management systems (EDMS) as required.

  • · Review and control document versions, ensuring accuracy, completeness, and compliance with company policies and industry standards.

  • · Implementing and managing document control procedures and systems, ideally within the construction or engineering industry.

  • · Manage all documents within ACONEX, including uploads, reviews, approvals, and distribution

  • · Configure and maintain ACONEX modules and workflows to optimize document control processes.

  • · Utilize ACONEX reporting tools to generate document control reports and track key metrics.

  • · Train and support project teams on using ACONEX for document management tasks.

  • · Implement document retention and archiving policies, ensuring proper storage and retrieval of historical documents.

  • · Track and record all document revisions and approvals, maintaining a clear audit trail.

  • · Conduct regular document audits to identify and address any discrepancies or non-compliance issues.

  • · Support project teams with document-related needs and inquiries.

  • · Collaborate with various departments, including engineering, quality control, and legal, to ensure document consistency and alignment with company objectives.

  • · Stay up to date on industry best practices in document control and quality management.

Qualifications

  • Bachelor's degree in business administration, engineering, information technology, or a related field (preferred).

  • · Minimum 1 year of experience in a document control or records management role.

  • · Proven experience in implementing and managing document control procedures and systems.

  • · Strong proficiency in Microsoft Office Suite, particularly Word and Excel.

  • · Working knowledge of electronic document management systems (EDMS) preferred.

  • · Excellent organizational skills and attention to detail.

  • · Strong analytical and problem-solving skills

  • · Ability to work independently and as part of a team.

  • In-depth knowledge and expertise in ACONEX, including its modules, workflows, and reporting features.
